Astercamp OÜ Motorhome rental terms

These Terms & Conditions govern the rental of motorhomes (“Vehicle”) from Astercamp OÜ (“we”, “our”, “us”). By submitting a booking, you (“Renter”, “you”) agree to the following terms.

1. Booking, Payment & Security Deposit
1.1 Booking Deposit
• To reserve a motorhome, a booking deposit must be paid.
• The reservation becomes valid only after the deposit is successfully received.
• The deposit amount is deducted from the total rental price.

1.2 Payment of Remaining Balance
• The remaining rental balance is paid upon receiving the motorhome at pick-up, before the handover.
• Accepted payment methods will be listed in the booking confirmation.

1.3 Security Deposit (Refundable)
• A refundable security deposit is required at pick-up.
• The security deposit covers possible damages, cleaning fees, missing items, unreturned fuel, tolls, or fines.
• The amount is stated during the booking process.

2. Pick-Up Procedure

2.1 Identification
At pick-up you must present:
• A valid driving licence
• Passport or national ID card
• Booking confirmation

2.2 Vehicle Handover Inspection
• Both parties conduct a joint inspection and document the vehicle’s condition, mileage, fuel level, and equipment.
• You receive instructions for operating the motorhome and its systems.

3. Returning the Motorhome

3.1 Time & Location
• The vehicle must be returned to the agreed location and at the agreed time.
• Late returns may incur additional daily or hourly fees.

3.2 Required Condition

You must return the vehicle:
• Clean and tidy inside
• With dishes washed and rubbish removed
• With wastewater and toilet cassette emptied (unless otherwise agreed)
• With a full fuel tank (unless otherwise agreed)
• With all equipment provided at pick-up

3.3 Return Inspection
• A final inspection is completed upon return.
• Any damage, missing items, or cleaning needs will be recorded and may result in deductions from the security deposit.

4. Security Deposit Refund Process

4.1 Refund Method
• The security deposit will be refunded to the same bank account or card used at pick-up unless otherwise agreed.

4.2 Timeline
• If no issues are found, refunds are issued within 7–14 business days.
• If there is damage or additional charges, the processing time may be longer to determine accurate costs.

4.3 Possible Deductions

Deductions may apply for:
• New damage or missing equipment
• Unemptied toilet or wastewater tank (unless otherwise agreed)
• Excessive cleaning or odor removal
• Missing fuel
• Late return
• Traffic or parking fines, toll violations, or insurance excess
• Repair or towing costs resulting from misuse or prohibited actions

You will receive a detailed breakdown of any deductions.

5. Insurance Coverage

5.1 Standard Insurance
• Each rental includes mandatory motor insurance as required by Estonian law.
• The renter is responsible for the insurance excess stated in the rental agreement.

5.2 What Insurance Does NOT Cover

Insurance may not cover:
• Damage due to off-road driving
• Interior damage caused by negligence
• Damage from driving under the influence
• Damage resulting from unauthorized drivers
• Roof damage (tree branches, low clearances)
• Tire, wheel, and undercarriage damage caused by improper driving

The renter is financially responsible for damages not covered by insurance.

6. Mileage & Fuel Policy

6.1 Mileage
• Daily or total mileage limits, if applicable, will be stated in your booking confirmation.
• Additional mileage may be charged at a fixed rate.

6.2 Fuel
• The vehicle must be returned with a full fuel tank.
• Missing fuel will be billed at the market rate plus a refuelling service fee.

7. Vehicle Use Rules (What You Must NOT Do)

To ensure safety and protect the motorhome, you agree NOT to:

7.1 Prohibited Actions
• Smoke or vape inside the vehicle
• Bring pets without prior written approval
• Drive off-road, on unpaved trails, beaches, or restricted areas
• Tow trailers or other vehicles unless explicitly approved
• Exceed passenger limits or maximum weight
• Allow unregistered drivers to drive
• Modify or remove installed equipment
• Use the motorhome for commercial purposes or illegal activities
• Stand or walk on the roof
• Drive under the influence of alcohol, drugs, or impairing medication

7.2 Consequences

Violations may result in:
• Immediate termination of rental
• Full loss of the security deposit
• Additional damage or cleaning charges
• Liability for any resulting repairs or fines

8. Accidents, Breakdowns & Repairs

8.1 Accident Procedures

In case of an accident:
• Contact emergency services if needed
• Notify Astercamp OÜ immediately
• Complete an accident report form
• Record details and take photos if safe to do so

8.2 Breakdowns
• For mechanical breakdowns not caused by misuse, roadside assistance is included.
• Do not attempt to repair the vehicle yourself unless instructed.

8.3 Unauthorized Repairs

Unauthorized repairs or modifications are prohibited and may result in additional charges.

9. Cleaning Policy

You must return the motorhome in a reasonable and tidy condition, including:
• Floors swept
• Surfaces wiped
• Waste removed
• Dishes cleaned
• Toilet cassette and wastewater tank emptied

If the vehicle is excessively dirty or tanks are not emptied, cleaning fees apply.

10. Cancellations & Changes

10.1 Cancellations
• The cancellation policy, including applicable fees, is provided at booking.
• The booking deposit may be non-refundable depending on the timing of cancellation.

10.2 Modifications
• Date or duration changes are subject to availability and may affect pricing.
• No modification is confirmed until you receive written approval from Astercamp OÜ.

11. Liability of the Renter

You are responsible for:
• The motorhome and all included equipment during the rental period
• Ensuring the vehicle is locked and secured when unattended
• All traffic, parking, and toll violations incurred during the rental
• Damage resulting from misuse or negligence

12. Governing Law

These Terms & Conditions are governed by the laws of Estonia.
Any disputes shall be resolved in accordance with Estonian legislation and, where applicable, consumer protection rules.
